Job Description Summary

This position plays a pivotal role in supporting the work of the Events Department by providing both department-wide administrative support and hands-on event operations assistance. Working under the direction and guidance of the Director, Events, this position ensures the seamless coordination of event logistics, vendor management, and administrative processes that support events across the organization.

Responsibilities

Event Operations & Logistics Support

  • Assist with the planning and execution of a wide range of events, including high-visibility, high-quality, and revenue-generating events.
  • Conduct vendor research, support negotiations, and assist with contract review and approval processes.
  • Coordinate event logistics, including shipping event materials to markets and Enterprise companies as needed.
  • Support attendee management processes, including invitations, RSVP tracking, nametag creation, printed materials, and coordination with company and market staff.
  • Ensure events are executed on time, within budget, and aligned with Enterprise quality and service standards.
  • Contribute to the production of events that generate positive attendee feedback and, where applicable, raise unrestricted operating revenue for markets.

Financial & Vendor Administration

  • Process invoices for all event-related vendors in a timely and accurate manner.
  • Help track event expenses and revenues to ensure adherence to approved budgets.
  • Maintain organized and accurate records related to event finances, including AMEX documentation and vendor files.
  • Support organizational risk mitigation by ensuring proper documentation, approvals, and payment processes are followed.

Administrative Support & Team Productivity

  • Serve as a reliable point of contact for receiving, tracking, and fulfilling event-related material requests.
  • Track event supplies and materials and ensure inventory is adequately maintained.
  • Provide consistent administrative support that enhances overall team efficiency and productivity.
  • Support a collaborative team environment, contributing to high satisfaction among Events team members and internal stakeholders.
  • Utilize the department software platform, Cvent, to support event planning, execution, and reporting.
  • Ensure accurate and consistent data entry within Cvent.

Qualifications & Background Required:

  • Minimum of 1-2 years of experience supporting a variety of events of differing sizes, types, and complexity.
  • Demonstrated ability to develop and maintain strong relationships with internal stakeholders.
  • Strong analytical and problem-solving skills, with the ability to identify issues and follow through to resolution.
  • Self-directed, highly motivated, and disciplined team player.
  • Quick learner with enthusiasm for ongoing professional development and supporting a growing events program.
  • Experience with event management platforms such as Cvent a plus.
  • Willingness to travel as needed and work occasional evenings and weekends to support events and initiatives.

Salary Transparency

You will be joining a team of talented professionals motivated by serving the community and addressing the need for affordable housing.

Enterprise offers a comprehensive total rewards package for you and your family. The pay range for this position is $53,000 – $63,000. The salary range represents the low and high end of what may be paid for this position. It is not typical for an individual to be hired at or near the top of the pay range, and compensation decisions may be influenced by a variety of factors, including skills, qualifications, experience, and location.
