The region has an ambitious growth plan to expand this network, deepen member engagement, continue to provide a platform for the industry to accelerate the decarbonization of the built environment, inspire best practices for equitable and sustainable land use, and educate the next generation of diverse leaders.
Scope of Work
The role is to support the operations of the Local Councils in Asia Pacific.
In Asia Pacific, each local council is finely tuned to address the specific needs and characteristics of their individual markets: such as providing member services, planning and executing flagship events, rolling out hi-impact initiatives with integrated Marketing and Communications campaigns and strategies and IT functions geared towards data integrity. This level of specialisation is achieved by working closely with the Asia Pacific regional team which provides essential regional guidance and support. This collaboration allows for a unique blend of local and regional oversight, ensuring that our services stay relevant locally while aligning with our broader organizational objectives.
Initial scope of services to support Local Councils, with guidance and from the designated Local Council teams:
1. Operations and System Backend Process:
- Set up events
- Customer profile creation
- Invoicing
- Payment follow-up
- Technical troubleshooting
2. Marketing and Communications:
- Eblast Creation and Distribution
- Design and send out email blasts for events and programs
- Social Media Management
- Regular posts and updates for engagement on various social media platforms
- Content Creation for Social Media Engagement, with guidance from the LC team:
- Develop engaging and relevant content tailored for each social media platform/handle
- Develop and curate visual content, such as graphics and videos, to enhance posts
- Social Media Analytics:
- Monitor and analyse social media metrics to gauge the effectiveness of content and strategies
- Adjust content and engagement tactics based on analytics insight
- Trend Monitoring:
- Abreast on the latest social media trends and best practice for practical application
- Brand Collaterals Design and Development
- Develop graphics for event campaigns and impactful invitations
- Develop designs for other brand materials: signage, merchandise, reports
- Website Management and Content Creation:
- Maintain and update website content monthly/quarterly
- Copywriting for engaging content relevant to events and programmes communications
3. Events and Logistics Support:
- Pre-Event Coordination and Planning
- Technical Support for Webinars:
- Set up and manage the technical aspects of webinars and online events
- Presentation Slides Development :
- Design and produce presentation slides and similar materials for initiatives, campaigns, events and other membership-related local activities
- Documentation:
- Create and manage a range of event-related multi-media collaterals: videos, editing, photos, and other visual assets
- Customer Service Management:
- Handle all customer inquiries and concerns related to all local events
4. Day-to-Day Administrative Tasks
- Manage incoming and outgoing calls, providing information and routing calls as necessary.
- Email Inquiries:
- Handle and manage email inquiries
- Preparing Administrative Reports:
- Manage, prepare, andmaintain regular reports needed in the operations of the local council
- Database Management
- Maintain and update databases, ensuring integrity of information.
- Vendor Management:
- Coordinate with vendors for services and supplies
- Management of vendor related databases for ease of local council operations
- Scheduling and Calendar Management:
- Organise and maintain schedules and calendars for events, personnel or local council guests
- Meeting Coordination:
- Schedule, prepare for, and facilitate meetings, including preparation of agendas and minutes.
- Travel Arrangements:
- Plan and coordinate travel itineraries, accommodations, and logistics for events or other core activities/projects of the local council
Skills
- Good track record in marketing and communications, especially in digital and social media campaigns
- Excellent English writing skills to create marketing and communications content.
- Self-motivated and highly organized, demonstrating meticulous attention to both details and deadlines.
- Ability to prioritise tasks, and work in multi-tasking environment and in a small team.
- Excellent project management skills,
- Strong sense of ownership and accountability to handle assignments and projects, follow through, and deliver results as planned.
- Resourceful and creative in finding solutions to problems
- Fluency in Mandarin, Cantonese, and English with strong interpersonal skills to work with senior business and public sector executives.
- Flexibility in working hours. Able to attend early morning and evening events if required.
- Proficient computer skills in Microsoft Office including Word, Excel, Outlook, and PowerPoint are a must.
- Knowledge of Photoshop or graphic design tools, a preference.
- Some travel may be required.
Qualifications
- 5 years or above related work experience in business administrations, event management, project management, customer service.
- Diploma or above qualification is required, preferably major in business & administration, or marketing. Consideration will be given to, urban planning, real estate development or similar.
